We would like to thank everyone who attended this year’s Annual Membership Meeting and to those who voted online for the Board candidates. We are excited to have our current Board members serve another term. Congratulations to Philip Prince, Dave McDonald, Mindy Merchant, Ed Riesmeyer and Mark Wilson! Call to order

The meeting was called to order on November 20, 2016 at 6:03 pm. Members Present: Bob Stone, President; Ed Riesmeyer, VP; Carrie Dilsworth, Secretary; Todd Leahy, Treasurer; Mark Wilson, At-large pool; Ben Carlton, At-large socials; Dave McDonald, At-large socials/marketing; Mindy Merchant, At-large tennis/socials; Gary Smith, At-large tennis; Barry Reeves, At-large marketing.

Guests: Phyllis Smith, Club Manager; Allison Nelson, Accounting. Approximately 21 members.

Approval of minutes

Motion to approve 2015 Annual Meeting Minutes. The motion was seconded and approved.

Motion to approve 2016 Annual Meeting Agenda. The motion was seconded and approved.

Welcome & Opening Remarks

Bob Stone welcomed and thanked everyone in attendance.

Windyrush Highlights

Bob went over highlights and accomplishments for 2016.

Swim Team had a great season with 299 participants.

There are currently 450 memberships with 60 on the waitlist.

Mark Wilson gave a summary on a successful & safe pool season. Board has hired a new and highly recommended pool management company, Swim Club Management Company.

Good member feedback regarding our socials.

Mindy Merchant gave a summary on the tennis program. Our new pro, Susie Brown is great and doing everything that needs to be done. Considering getting shade between courts.

2017 Board of Elections

Each nominee was introduced and addressed members.

Bob explained the nomination process & asked if there were any nominations from the floor.

Voting results: Todd Leahy, President; Philip Prince, Treasurer; Carrie Dilsworth, Secretary, Barry Reeves, At-large Marketing; Chris Hunt, At-large Socials; Mike Waleski, At-large Men’s Tennis.

Capital Improvements

Barry Reeves said we received 294 responses to the survey that was sent to members.

Based on the survey results, Ed Riesmeyer addressed three areas, parking, pool deck and pool/clubhouse the board would like to focus on going forward.

Considering adding 40-50 parking spaces in the floodplain area behind the parking lot.

A couple of sections of the pool deck will be repaired this year and every year till complete.

The club is in an advantageous position to start considering the logistics for a pavilion/clubhouse and bathroom renovation. Going to research pricing, parking and codes. One idea is to build a covered pavilion where the tent is located. Renovating our current structure would be costly due to updating codes. 

Finance

Todd Leahy presented a Financial Report: 2016 Budget, Expenses, 5 Year Results Comparison and 2016 Actual compared to Budget.

Discussion about increase in dues. Mark Wilson has extensively researched dues. He has compared our dues with other similar clubs and found Windyrush is a bargain.

Discussion

Question about membership capacity. The club has a membership cap at 450 members.

Members asked about pool and tennis capacity.  Considering ways to split membership. Possibly open tennis only membership.

Member commented they didn’t know about the tennis ball machine. The information has been in all the newsletters.

Concern about having a safe area when it rains. Future pavilion would address this issue.

Bob spoke about Phyllis Smiths’ great job managing the club and thanked her for her work.

Pool Updates

• New concrete sections (with repair) in May and another section to be replaced before 2018 opening
• Additional chairs and tables added to meet demand
• Increased security surveillance cameras added to monitor pool, tennis courts, and parking lot
• Ordered a new AED defibrillator; lifeguards and Mark are trained on use
• Water features, gaga ball court, and tennis pavilion were pressure-washed, stained, and/or painted to restore new look
• New landscaping contractor approved to improve overall grounds appearance
• Larger ice machine purchased to handle increased demand from pool, tennis and social activities

• Trial By Fire (Journey cover band) concert

Office Notes

Yearly renewal invoices have been emailed. Membership dues for 2018 are $725.00 and payable by March 1, 2018. If you pay your membership by January 1, 2018 you will receive a $35.00 discount. Payments made after March 1, 2018 will incur a $50.00 late fee. If memberships are not renewed by March 15, 2018 they will be automatically terminated. Due to our current waiting list, we have a strict deadline this year.
